Edit the Details of an Entire Repeating Availability Series


Overview

The process to edit the details of an availability will vary based on if the availability is booked (which we will refer to a booked class) or unbooked.  This article will not discuss how to remove or cancel an availability. If you would like to cancel or remove an availability, please see our other article here.


Edit the Details of a Booked Class

If the day, time, location, URL (for virtual session) or provider of a booked class needs to be updated, please follow the steps below.  Booked availabilities are indicated by the solid green dot beside them. To make changes to the class roster, please see our Adding and Removing Cases from Class Availability solution article.

  1. On the Classes Calendar page, select the booked class you'd like to edit. Use the viewing options and filters along the top to locate the class you'd like to edit. 
  2. This opens the Preview window for this class.
  3. Click the DETAILS arrow in the top right corner of this summary window to open this class' info tab.

  4. Click EDIT DETAILS found at the bottom of the left hand column.

  5. Make the desired changes and then click SAVE at the bottom of the page. This will trigger an automated email sent to the student, please see the note below for more information regarding the boilerplate content of this template.


Edit the Details of a Single Unbooked Availability

If the day, time, location, URL (for virtual session) or provider of single unbooked availability needs to be updated please follow the steps below. If you would like to editing all the unbooked availabilities in a repeating series, please see the next section.

  1. On the Classes Calendar page, select the unbooked availability you'd like to edit. This opens the availability's summary window. Use the viewing options and filters along the top to locate the availability you'd like to edit. 
  2. Click the DETAILS arrow in the top right corner of this summary window to open this availability's info tab.

  3. Click EDIT DETAILS found at the bottom of the left hand column. If this availability is part of a repeating series, a Select Editing Scope window will pop up. Check the 'Only this Availability' option and click CONTINUE.

  4. Make the desired changes and then click SAVE at the bottom of the page. 


Edit the Details of an Entire Repeating Availability Series

If the day, time, location, URL (for virtual session) or provider of an entire repeating availability series needs to be updated please follow the steps below. These steps can also be followed if you would like to edit the repeating nature or duration that the availability repeats. Note that these updates will not affect any booked availabilities that were a part of this series.

  1. On the Classes Calendar page, select an unbooked availability that is a part of the repeating series you'd like to edit. This opens the availability's summary window. Use the viewing options and filters along the top to locate the availability you'd like to edit. 
  2. Click the DETAILS arrow in the top right corner of this summary window to open this availability's info tab. Availability that is a part of a repeating series will include the info row 'Scheduling note' that indicates its from a repeating series. If that note is not there, please see the steps above on editing a single availability.

  3. Click EDIT DETAILS found at the bottom of the left hand column. 

  4. The Select Editing Scope window will pop up. Check the 'All Availability in Series' option and click CONTINUE. If this window does not appear then the availability you are editing is not a part of a repeating series. Please see the steps above on editing a single availability.

  5. Make the desired changes. Note that the Start Date will default to the first unbooked availability of the series.  

  6. Finally, click SAVE at the bottom of the page. These updates will be reflected on all unbooked availabilities that are a part of this series.
